Legal
Terms of service
This is an English translation for your convenience. The German version is legally binding.
In short: Routira is free and invite-only during its private alpha. It works with the mailbox you already have, which stays with your provider. AI suggestions can be wrong, so you stay in control, and Routira never sends anything without you. You can stop at any time. Only the terms below are binding.
1. Scope and provider
1.1 Routira is provided by Michael Ketzer, Rotkehlchenweg 51, 40789 Monheim am Rhein, Germany ("we", "us"). Contact details are in our imprint.
1.2 These terms apply to every contract for the use of Routira: the web app at app.routira.com, the apps for Mac, iPad and iPhone, and all related services ("Routira"). They apply to consumers (§ 13 BGB) and businesses (§ 14 BGB) alike, unless a clause says otherwise.
1.3 A business customer's own terms don't apply, even if we don't object to them.
1.4 If a business customer uses Routira to process personal data on its behalf, in particular in a team workspace, our data processing agreement also applies.
2. The private alpha
2.1 Routira is in a private alpha: an early version that we're testing with a limited group of invited people. There is no right to an invitation.
2.2 Routira is free of charge during the alpha. We plan to offer paid plans later. A paid plan only starts if you book it separately and actively; nothing in the alpha turns into a paid contract on its own.
2.3 As an early version, Routira is still changing. We add, change and remove features, and errors can occur. We may set fair usage limits, in particular for the AI features.
2.4 If you send us feedback or suggestions, we may use them to improve Routira without owing you anything for them. This gives us no rights to your mail.
3. Who may use Routira
3.1 You must be at least 18 years old and have full legal capacity.
3.2 If you use Routira for a company or another organization, you confirm that you're authorized to accept these terms on its behalf. The organization then becomes our contracting partner.
4. How the contract is concluded
4.1 We invite you by email. To create your account, you enter your email address and confirm it with the code we send you. Along the way we point you to these terms and the privacy policy, and you accept the terms. The contract is concluded when your account is created.
4.2 Before you confirm, you can check and correct your entries, for example by going back and entering your email address again.
4.3 We don't store the contract text separately for you. The current version of these terms is always available on this page, where you can save or print it; we'll send you earlier versions on request.
4.4 The contract languages are German and English. The German version is binding.
5. What Routira does
5.1 Routira is a workspace for email. It connects to mailboxes you already have (currently via IMAP and SMTP, for example with OVHcloud; more providers may follow later), keeps a synced copy of your mail, helps you sort, prioritize and answer it with AI, and lets you work on mail with your team in shared mailboxes, with rights, assignments, notes, mentions, folders and projects.
5.2 Routira isn't an email provider. Your mail stays with your provider, and Routira works with a synced copy. Routira isn't an archive or a backup either, and it isn't designed to meet statutory archiving duties (for example under the GoBD). You remain responsible for keeping mail that you're legally required to keep.
5.3 During the alpha, we distribute the apps for Mac, iPad and iPhone through Apple's TestFlight. Apple's terms apply to TestFlight.
5.4 During the alpha, Routira offers the features available at the time. There is no claim to particular features.
6. Your mail accounts
6.1 Connect only mailboxes you're authorized to use. If you connect a mailbox that others use too (for example a shared team address), make sure you're allowed to, and that the people concerned are informed where required.
6.2 Your contract with your mail provider remains unaffected, and you're responsible for complying with its terms. Routira accesses your mailbox on your behalf and only as you instruct: it reads and syncs mail, sends the messages you send, and applies the changes you make (for example moving, marking or deleting messages).
6.3 If your provider changes or restricts access (for example after a password change), syncing can stop until you reconnect the mailbox. We aren't responsible for outages or changes at your provider.
7. Your account and its security
7.1 You sign in with a code we send to your email address. Keep access to that email account secure, because anyone who can read it can sign in to Routira.
7.2 Your account is personal. Don't share it; invite the people you work with to your workspace instead.
7.3 If you suspect that someone is misusing your account, tell us without delay at security@routira.com.
7.4 In a team workspace, the people who manage it decide who can access which shared mailboxes, and with which rights (Viewer, Member or Manager). They're responsible for giving access only to people who should have it.
8. Acceptable use
8.1 Don't use Routira to:
- send spam, bulk mail or unsolicited advertising;
- access mailboxes or data you're not authorized to access;
- send or store illegal content, malware or phishing, or to commit fraud, harassment or other illegal acts;
- infringe the rights of others, including copyrights, personality rights and data protection rights;
- use the AI features to create illegal content, or to make decisions with legal or similarly significant effects on people without a person reviewing them;
- circumvent or probe security measures, access controls or usage limits, except as described in the responsible disclosure policy on our security page;
- interfere with the operation of Routira, for example through excessive automated requests, or to extract data automatically (scraping);
- resell access to Routira or offer it to others as a service.
8.2 If there are concrete indications that you're breaching these rules, we may restrict or suspend your access in whole or in part, in proportion to the breach and with due regard to your legitimate interests. We tell you why, unless the law forbids it or it would jeopardize an investigation, and you can object. Serious breaches entitle us to terminate the contract (section 14).
9. Reporting illegal content
9.1 You can report content in Routira that you consider illegal, and any other misuse, to hello@routira.com, in German or English. Please say what you're reporting and where to find it, explain why you consider it illegal, and include your name and email address (not required for reports of child sexual abuse material) and a statement that you believe in good faith that your report is accurate and complete.
9.2 We confirm receipt, review the report carefully and promptly, and tell you our decision. If we restrict content or an account, we tell the person affected why and how they can object (Art. 17 Digital Services Act).
10. Your content
10.1 Your mail and everything you create in Routira stays yours. We claim no rights to it.
10.2 You grant us the non-exclusive, non-transferable right to store, copy, process, analyze with AI and display your content, limited to what's needed to provide, secure and support Routira for you and the people you share with. This right ends when the content is deleted.
10.3 We don't use your content for advertising, we don't sell it, and we don't use it to train AI models.
10.4 You're responsible for your content and for having the right to process the mail you connect.
11. AI features
11.1 Routira's AI features create results automatically, for example categories, priorities with reasons, deadlines, summaries, smart replies and drafts, extracted agreements, and answers from Ask Routira. They're marked as AI in Routira.
11.2 AI can be wrong or incomplete. Treat AI results as suggestions: check them before you rely on them, in particular quotes and sources, and read drafts before you send them. Routira doesn't send any message without your action.
11.3 The AI features use OpenAI as a service provider; the privacy policy explains what that means for your data. In team workspaces, admins can switch the AI features off in the settings for the whole workspace. Personal workspaces and single mailboxes can't do that yet.
12. Availability during the alpha
12.1 We work to keep Routira available and running smoothly, but during the alpha we don't promise any particular availability (no service level). Maintenance, updates, security measures and outages at our service providers or at your mail provider can interrupt Routira.
12.2 We may change, restrict or discontinue features during the alpha. Where possible, we announce significant changes in advance.
12.3 We may end the alpha. We'll tell you at least 30 days in advance, unless there is good cause for ending it sooner (section 14).
13. Your data: export and deletion
13.1 You can disconnect a mailbox at any time. Routira then deletes the stored credentials immediately and the synced copies within the periods in the privacy policy. Your mail at your provider isn't affected.
13.2 You can ask us for a copy of your data, and to delete your account, at any time. Until these functions are available in the app, write to hello@routira.com from the email address of your account. We handle your request without undue delay, at the latest within one month.
13.3 Conversations you've shared into a team workspace belong to that workspace and stay there after your account is deleted.
13.4 Notice under the EU Data Act: during the private alpha, Routira is a non-production version provided for testing and evaluation for a limited period. The switching obligations in Chapter VI of the Data Act (Regulation (EU) 2023/2854) therefore don't apply to it (Art. 31 (2)), in particular the contractual switching terms (Art. 25), the information obligations (Art. 26 and 28), the rules on switching charges (Art. 29) and the technical switching obligations (Art. 30). Your rights under sections 13.1 and 13.2 and under the GDPR remain unaffected.
14. Term and termination
14.1 The contract runs for an indefinite period.
14.2 You can terminate it at any time without notice, for example by email to hello@routira.com or, once available, by deleting your account in the app.
14.3 We can terminate it with at least 30 days' notice, for example when the alpha ends.
14.4 Either party may terminate for good cause without notice (§ 314 BGB). For us, good cause exists in particular if you seriously or repeatedly breach section 8, or if continuing the contract would expose us, other users or third parties to considerable legal or security risks.
14.5 Notice of termination must be given in text form, for example by email.
14.6 After the contract ends, we delete your data as described in the privacy policy, unless we're legally required to keep it. Before it ends, you can ask for a copy (section 13.2).
15. Defects
Please tell us about errors so we can fix them. Because Routira is free of charge during the alpha, our liability for defects follows section 16. Statutory rights that can't be excluded remain unaffected.
16. Liability
16.1 We're liable without limitation for damage caused intentionally or through gross negligence, for injury to life, body or health, under the Product Liability Act (Produkthaftungsgesetz), and where we've given a guarantee or fraudulently concealed a defect.
16.2 Because Routira is free of charge during the alpha, we're otherwise not liable for slight negligence (in line with §§ 521 and 599 BGB).
16.3 Where section 16.2 doesn't apply, we're liable for slight negligence only if we breach an essential contractual obligation, and only for the typical, foreseeable damage. Essential contractual obligations are those whose fulfilment makes the proper performance of the contract possible in the first place and on whose observance you may regularly rely.
16.4 These limitations also apply to the personal liability of the people we work with.
16.5 Routira isn't a backup. Your mail stays with your provider; please back up what you can't afford to lose.
17. Changes to these terms
17.1 We may change these terms for a valid reason, in particular changes in the law or case law, security requirements, new features or the end of the alpha, and only to an extent that is reasonable for you.
17.2 We'll send you the changed terms by email at least 30 days before they're meant to take effect, and point out what changes.
17.3 Changes that are solely to your advantage apply from the date we give. All other changes apply to you only once you accept them, for example in Routira. If you don't accept them, the current terms continue to apply, and either party may terminate the contract under section 14.
18. Data protection
Our privacy policy explains how we process personal data. For business customers whose data we process on their behalf, our data processing agreement applies.
19. Consumer dispute resolution
We are neither willing nor obliged to take part in dispute resolution proceedings before a consumer arbitration board.
20. Final provisions
20.1 The law of the Federal Republic of Germany applies, excluding the UN Convention on Contracts for the International Sale of Goods. If you're a consumer whose habitual residence is in another country, the mandatory consumer protection provisions of that country remain applicable.
20.2 The German version of these terms is binding. The English version is a translation.
20.3 If individual provisions are or become invalid, the rest of the contract remains valid; the statutory provisions apply instead (§ 306 BGB).
20.4 Questions about these terms: hello@routira.com.
